Setting up Metatron, using it every day, and fixing the usual problems. Can't find your answer? Write to [email protected].
Getting started
- Open the downloaded file and drag Metatron into Applications. It needs a Mac with Apple Silicon and macOS 26 or later.
- Open Metatron. The first screen walks you through everything in a few minutes.
- Allow what it asks for. Each permission has one job:
- Microphone: hears you after you say its name.
- Speech Recognition: turns your voice into text, on your Mac.
- Calendar: knows your meetings, so it can prepare you and give you a heads-up.
- Screen Recording: hears the call audio it transcribes, and takes a screenshot when you ask. Quick Ask attaches one only if you leave its toggle on, and deletes it after the answer.
- Accessibility: reads a chat when you ask about it, and may open the conversation you named. It never types or sends anything.
- Pick your work folder. This is where your notes, to-dos and call summaries go, as plain Markdown files. Use a new folder, or an Obsidian vault you already have.
You can change any of this later in Settings.
Choosing your AI
Speech to text always runs on your Mac. For notes, answers and planning, Metatron uses the AI you choose in Connectors → AI model:
- Claude: through Claude Code, signed in with your Claude plan or your own Anthropic API key.
- ChatGPT: through Codex, signed in with your ChatGPT plan.
- Local: a model running on your Mac with Ollama. Nothing leaves your computer. Install Ollama, then download the model Metatron suggests (a few GB, once). A Mac with 16 GB of memory or more works best.
Your plan or key is billed by that provider. Metatron never sees your payment details for them.
Every day
- Talk to it. Say "Metatron", then what you need: "what's on today", "add a to-do to send Dana the plan", "what did Sam promise on Tuesday's call".
- Ask from any app. Press Option + Space to type a question, with what's on your screen attached.
- Calls. When a call starts in Zoom, Teams, Slack, FaceTime, WhatsApp or Google Meet in Chrome, Metatron takes notes and tells you. Say "Metatron, stop transcribing" to stop. Afterwards the summary, decisions and to-dos land in your work folder, with each voice on the call told apart.
- To-dos. Everything you owe and everything owed to you is on the To-dos page. What Metatron finds on calls or in email goes on a review list for you to approve or remove.
Recording laws differ by place. Metatron reminds you to tell people a call is being transcribed; what you must do depends on where you and they are.
Reminders and sounds
- Say "Metatron, remind me at 3 to call the bank", or "in 20 minutes", or "tomorrow morning". A card pops up at that time and stays until you press Done or Snooze.
- Before calls with other people you get a heads-up card with the join link. Choose 5, 10 or 15 minutes, or off, in Settings → Alerts. Metatron reads the calendars in the Mac's Calendar app, so a Google or Outlook calendar is as fresh as that app keeps it: in Calendar → Settings → Accounts, set Refresh Calendars to every 5 minutes if cancellations show up late.
- Pick the sound for pop-ups in Settings → Alerts, or switch sounds off. Quiet hours stop alerts, except reminders you set yourself.
Your licence
- After buying you get a licence key by email. Paste it in Settings → Licence. There's no account to create.
- One licence is for one person, on one of their Apple devices.
- New Mac? Press Remove from this Mac on the old one, then paste the key on the new one.
- Metatron checks the key when it opens, about once a week, and keeps working offline for 30 days between checks.
- A standard licence includes a year of updates. After that, the version you have keeps working for good; renew if you want newer versions. Founding member licences get every version.
- Lost your key? Search your email for the Lemon Squeezy receipt, or write to us.
When something's wrong
It doesn't hear me say "Metatron"
Check Settings → Permissions: Microphone and Speech Recognition must be on. Make sure the right microphone is selected in System Settings → Sound. Speak at a normal volume; a noisy room or a far away mic can miss it.
A call wasn't transcribed
Screen Recording must be allowed. In System Settings → Privacy & Security → Screen & System Audio Recording, switch Metatron off and on again, then reopen it. Calls in a browser other than Chrome may not be noticed; say "Metatron, transcribe this meeting" to start by hand.
Permissions stopped working after an update
macOS sometimes asks again after an app updates. Open Settings → Permissions and allow anything that shows as off.
"The local AI isn't running"
Open Ollama, and check that the model shown in Connectors → AI model is downloaded. Settings tells you which one is missing and the command to get it.
Notes are slow or answers fail
Your AI provider may be busy, or your plan's limit reached. Check that you're signed in to Claude Code or Codex, or try again in a few minutes. Your recording is kept, and the notes are made when it works again.
The licence key won't activate
Copy the whole key with no spaces. If it says the key is already in use, remove it from the other Mac first (Settings → Licence → Remove from this Mac). Still stuck? Write to us with your order email.
Removing Metatron
Remove the licence from this Mac first (Settings → Licence), so you can use it elsewhere. Then press Settings → Privacy → Delete everything: it removes recordings, transcripts, attachments, logs, the speaker model and the copies Claude Code or Codex kept of your questions. Quit Metatron and drag it from Applications to the Trash. Your work folder stays where it is: those are your files. What's left to delete by hand, if you want a clean slate: ~/Library/Application Support/Metatron (your settings), the Claude Code or Codex tool in ~/.local/bin and their own folders ~/.claude and ~/.codex, and Ollama if you installed it.
